Privacy Policy

What Fernhand collects, why, where it is kept, and the choices you have.

Effective: October 15, 2026Last updated: October 15, 2026

Fernhand helps families coordinate care for someone they love. That information is sensitive, so we collect as little as we can, and we explain exactly where it goes.

What we collect

  • Account: your email address, a password (stored only as a secure hash by our database provider), and the first name you choose to show your care circle.
  • Care-circle content you or your circle add: the circle name and the first name or nickname of the person cared for; visit summaries you review and save; tasks and comments; shift handoffs and acknowledgements; appointments; and the Care Snapshot (contacts, medication list, allergies, precautions, routines) as your family enters it.
  • Subscription status (plan and renewal date) from Apple via our payments processor, RevenueCat. We never see your card details.
  • Security records: an activity log of exports and access changes in each circle, consent records for optional cloud drafting, and short-lived records of failed invite-code attempts.
  • Feedback you choose to send.

What we do NOT collect

  • Your raw visit notes on the default setting. Drafts are created on your phone; only the summary you review and save is uploaded.
  • Location, contacts, photos, advertising identifiers, or browsing data. The app contains no advertising or tracking SDKs. We do not sell or share personal information for advertising.

Optional cloud drafting

If your circle's organizer enables it and you agree on the consent screen, the notes you typed for that visit are sent to the named AI provider Anthropic, PBC (Claude) to create a draft. They are processed for that request only; Fernhand does not store them. Anthropic processes them under its commercial API terms, which do not allow using them to train its models, and deletes them after a limited retention period. You can always draft on your phone instead.

Who can see your information

Only members of your care circle, according to their role. Paid caregivers do not see visit summaries unless the organizer allows it. Organizers can see the circle's activity log.

Service providers (processors)

Supabase (database, authentication; hosted in Canada); RevenueCat and Apple (subscriptions); Apple Push/Notification services (task reminders scheduled on your device carry no care details); the optional AI provider above. We do not use any other third parties.

Security

Encryption in transit (TLS) and at rest; server-enforced access rules on every record; sign-in tokens in your phone's secure Keychain; invite codes stored only as hashes; PDF exports created on your phone.

Retention and deletion

Content stays until you or your circle delete it. Delete your account in the app (Settings → Account): circles you organize are deleted with all their records; you are removed from other circles. Deleted data is removed from our live database immediately; any backup copies expire within 7 days. Export a copy of your data anytime (Settings → Account → Export my data).

Your rights

Depending on where you live (e.g. Canada — PIPEDA/Alberta PIPA; EU/UK — GDPR; California — CCPA/CPRA), you may access, correct, export, or delete your data, and withdraw consent for cloud drafting. Most of this is self-serve in the app; otherwise email support@seaxenterprises.com.

Children

Fernhand is for adults (18+). We do not knowingly collect information from children.

Not medical advice

Fernhand organizes family-provided information. It is not a medical record, does not provide medical advice, and is not an emergency service.

Changes

We'll post updates here and notify you in the app for material changes.
